We require full payment in order to secure your booking.



We hope you don’t have to cancel but if a cancellation is made at least 14 days prior to the event, 100% of your payment will be refunded. If a cancellation is made in less than 14 days, but outside of 48 hours prior to the event, 50% of your payment is forfeited and cannot be used toward the cost of a rescheduled event. If a cancellation is made less than 48 hours prior to the event, 100% of your payment is forfeited. In the case of a last minute booking where the booking has been confirmed within 14 days of the event, 50% of your payment is non refundable. As above, if a cancellation is made less than 48 hours prior to the event, 100% of your payment is forfeited.


Schedule changes

Please make sure you have your phone handy just encase we need to reach you day of. We take no responsibility for changes to the timing/structure of your event if it cannot be accommodated. Every performance we do is in a different space, with a different audience and different conditions. Because of this, we understand that we may need to follow a performance structure that differs from our ‘Plan A’ on the day of. To help us provide you with the best possible party, we ask for your assistance in making yourself available during the party to talk to us about any changes as necessary. As long as timings are maintained, we are happy to coordinate with you ensure the party is in line with your expectations.


The BeatBuds consist of many team members. While your event will be staffed by two members of The BeatBuds team, we do not guarantee which members of our team will staff your event. Staffing assignments change constantly and are subject to change without notice.




Extreme wet and hot weather is an inconvenience to any event! We know how frustrating it can be to plan every detail of your party only to experience an extreme weather condition. We must have shelter and shade. We will accommodate an alternate, nearby location (within 5 miles) should the event need to be moved. We will not perform in the rain. In the event of rain, the client is responsible to provide an indoor space or a dry performance area. If no such area can be found, the client is still responsible for full payment.


It is a requirement of each booking with us that parking be provided or reimbursed by the client/parent. This has not been included in your event price. Parking costs will need to be reimbursed after the event. Please keep in mind that we have equipment to carry and may be coming from another event with limited time. Nearby parking is essential to beginning and ending the performance on time and we will not be held responsible for late starts, should this condition be neglected.



We plan to arrive 30 minutes prior to the agreed upon music start time. Upon venue entry, The BeatBuds team leader will make contact with the client to discuss efficient load in parameters as well as determine the performance area. After the performance, we will load out using the same efficient load in parameters unless a more effective load out procedure has been determined.

Load in/Load out


Please make sure that our performance area is on level, dry, solid ground and if on grass, please make sure not to water it 2 days prior to your event or provide an oversized tarp for the kids and band to play on. We provide a plastic straw mat for the kids to sit on. Sufficient for most outdoor surfaces, it is not sufficient for wood, tile, or linoleum floors. In this case a specialized non-slip mat is recommended and to be provided by the client. We will not perform on sand.

Performance area


Our music session is an acoustic based performance. Therefore excessive ambient noise, such as the hum of a bouncy house, an outdoor location near a heavily congested area, or even a competing DJ or stereo system can hinder the sound of the performance. We focus heavily on not being too loud as this is an interactive experience for the kids. As a result, there is a limit to how loud we can perform. If you feel there will be a sound conflict, please take the necessary steps to avoid a sound war. A few solutions are: Place us in an area where it doesn't compete with the excessive ambient noise, stop the excessive ambient noise during the performance if possible, I.E. deflate the bouncy house or turn off the dj or stereo during the performance. Please contact us with any questions as we can always find a solution.



Access to a power point must be provided, whether by extension lead or direct access, unless otherwise stated. Please have this ready to go before the party to avoid delays to the performance start time.



It is the responsibility of all clients to provide a safe and workable environment for us. Should a location or position be unacceptable in order to conduct our services to the highest standards, clients will be contacted as soon as possible and expected to comply with OH&S standards. This is inclusive of extreme weather day conditions. Should an entertainment experience be deemed unfit to continue due to these reasons, the client will forfeit the remainder of services and full payment will be retained.

  2. For the purpose of this Privacy Policy, the word “you” includes website visitors, online registered users, and customers of The BeatBuds products/services through the engagement with our staff.       • Aggregated anonymous data: This information is collected by our systems and third party systems pertaining to usage of our websites and online products. It does not personally identify you.

      • Personal information about you such as your name, address, email address, phone number, website usage, service feedback, financial and credit information, and other information pertaining to the successful delivery of an The BeatBuds product or service.

We may collect information about you when you visit our website and you elect to use our on­line services, when you register for an The BeatBuds online account, when you employ the services of The BeatBuds and, when you deal with us over the telephone or correspond with The BeatBuds via facsimile, letter or email or any other mode of communication.

      • The BeatBuds will engage the services of third party systems for the collection of aggregate data on website and digital product usage. This includes, but is not limited to, when you use and how you use these properties and is done so for the purpose of improving the service provided. This information remains anonymous.

      • The BeatBuds makes use of ‘cookies’ to store information. A cookie is a small piece of information stored on the users computer that our digital products can access for the purpose of providing a better experience. We may also use cookies to store website activity which may be shared with third party vendors (including Google and Facebook) to deliver advertising based on how you use our website. You are able to disable or delete cookies from your web browser.

    • We are committed to providing the highest standards in information security and will undertake reasonable endeavors to ensure personal information is kept secure. We use strict procedures and security features in efforts to prevent unauthorized access. However, due to the nature of the internet, The BeatBuds cannot guarantee that the personal information provided will be secure at all times and given we have fulfilled our obligations set out in this policy, will not be deemed responsible for any losses, damages or costs incurred through unauthorized access of the personal information. All personal information will be held for an indefinite period unless requested by you to be removed. All payment transactions carried out by us are done so through our chosen third party provider and will be encrypted using online encryption technology. Digital storage of financial information with our chosen third party provider will only be done so under strict and clear authorization by you, the user.

    • Usage of information

      • The BeatBuds may use your personal information for one or more of the following:

        1. To Communicate with you

        2. To Facilitate the delivery of a product or service

        3. To improve the experience we provide both online and through our services
